Swing Music Studio — Terms & Conditions
1. Enrolment
By enrolling in lessons at Swing Music Studio, you agree to the policies outlined on this page. These policies ensure fairness, clarity, and a smooth experience for all students and teachers.
All new students must read and accept these terms before commencing lessons.
Weekly lesson students (Core and Accelerated) enrol in 10‑week programs. Enrolment does not roll over automatically — families must confirm continuation at the end of each 10‑week block to retain their time slot.
If you have any questions about these policies, please contact our team before accepting them.
2. Contact & Communication
All official communication from Swing Music Studio will be sent via email.
The email you provide at enrolment will receive lesson notes, updates, reminders, and important notices.
It is your responsibility to check your inbox (including junk/spam).
For urgent matters, we may contact you via SMS or phone.
Lesson reminders are automatically sent via SMS — please ensure your mobile number is kept up to date.
We ask that non‑urgent communication be sent via email so our team can respond efficiently.
3. Lesson Delivery
Lessons are delivered in‑studio at Swing Music Studio in Kogarah.
Online lessons may be offered in special circumstances (illness, travel, temporary unavailability). Students attending online lessons must have:
A device with camera + microphone
A stable internet connection
Their instrument or practice equipment ready
4. Code of Conduct
We maintain a safe, respectful, and supportive learning environment.
Students/Parents agree to:
Arrive on time and prepared
Bring required books, music, or equipment
Use respectful language and behaviour
Respect teacher boundaries (no personal social media requests, etc.)
Teachers agree to:
Begin and end lessons on time
Provide clear, supportive instruction
Send lesson notes after each session
Maintain professional conduct at all times
Breaches of conduct may result in suspension or withdrawal from lessons.
5. Lesson Types & Billing Structure
Casual Lessons (One‑Off Bookings)
Booked individually through Acuity (booking platform)
No ongoing commitment
Paid upfront at the time of booking
Subject to availability
Core Lessons (Weekly 30‑Minute Lessons)
A reserved weekly time with your teacher
Billed on an ongoing basis at a reduced rate
Designed for consistent progress
Your time slot remains yours until you request a change or withdrawal.
Confirmation at end of 10 week term that you would like to continue with another 10 weeks of enrollement
Accelerated Lessons (Weekly Extended Lessons)
Longer weekly sessions for older or advancing students
Billed on an ongoing basis at a reduced rate
Ideal for deeper focus and faster progress
6. Payments
Casual Lessons
Paid upfront at booking
No refunds for cancellations or no‑shows
Core & Accelerated Lessons
Billed on a recurring basis (weekly or upfront depending on your Acuity subscription setup). Note- discounted rate for upfront payment.
Payment must be active to secure your weekly time
Lessons may be paused if payment fails or is overdue
Late Payments
If payment is not received, lessons may be placed on hold
Your weekly time may be released if payment remains outstanding
7. Cancellations, Make‑Ups & Missed Lessons
Casual Lessons
24 hours’ notice required to reschedule
No refunds for cancellations or missed lessons
Core & Accelerated Lessons
Your weekly time is reserved exclusively for you. If you cannot attend:
You may request an online lesson for that week
A make‑up lesson may be offered depending on teacher availability
Make‑ups are not guaranteed and cannot be rolled over
No refunds or credits for missed lessons
Teacher Absence
If your teacher is unavailable, we will:
Arrange a substitute or
Reschedule your lesson or
Provide a credit for that week
8. Withdrawing or Pausing Weekly Lessons
Core and Accelerated lessons are booked in 10‑week terms Your enrolment covers a full 10‑week block.
Your time slot is held until the end of the 10‑week block To continue, families simply confirm their place for the next block.
If no confirmation is received, the time slot will be released to the waitlist or made available for new students.
Mid‑block withdrawals are not refunded This ensures fairness and consistency for all families.
Exceptions may be considered In cases of long‑term illness, injury, or significant hardship.
To request a withdrawal or discuss circumstances, please email the studio.
9. Media & Recording Consent
Swing Music Studio offers three media‑consent options so families can choose what feels right for them.
Educational Use Only — Photos or videos may be taken during lessons and shared privately with the student/parent for practice, feedback, or progress tracking. These will not be used publicly.
Educational + Social Media Use — Photos or videos may be taken during lessons or studio events and may be used on Swing Music Studio’s website or social media, in addition to private educational sharing.
No Media Use — No photos or videos will be taken of the student in lessons or at studio events.
Additional Notes
Families may change their consent choice at any time by emailing the studio.
Online lessons may be recorded for educational purposes and shared only with the student/parent, regardless of consent choice. These recordings are not used publicly.
10. Studio Etiquette
Please arrive on time
Food and drink (except water) are not permitted near instruments
Parents may wait in the designated area or are welcome to sit in and watch the lesson
Students must treat all equipment with care
Damage caused by misuse may incur repair costs.
11. Liability
Swing Music Studio is not responsible for loss or damage to personal belongings
Students participate at their own risk
Parents/guardians are responsible for ensuring children behave safely in the studio
